Full Job Description

Reporting to the Finance Assistant, based at our Plymouth office (PL7 5JX), the main purpose of the role, is to provide project and financial administration support to a team of Engineers, Consultants and Directors, that forms part of our multiple award-winning engineering consultancy. You can expect a professional, fast-paced environment where everyone pulls together to achieve shared goals.

Core Job Functions

  • Provide administrative support from fee proposal stage, through to project completion for a variety of projects and clients.

  • Promptly responding to all incoming calls; answering queries and redirecting calls to members of staff;

  • Onboarding of new projects - ensure correct documentation is received, projects set up correctly and fees forecasted on the relevant systems.

  • Raising invoices & credit notes in conjunction with delivery teams to ensure monthly deadlines are met.

  • Act as a liaison point between other teams within Hydrock i.e., Legal, Credit Control, Accounts, dealing with queried debtors and resolving credit control issues.

  • Assist in the production of Purchase Orders and liaise with suppliers and Sub-contractors/Affiliates.

  • Contract administration, in line with company policies and QA procedures.

  • Updating forecasts, billing schedules, WIP and other balances in our ERP (Rapport).

  • Supporting the Divisional Financial Controller with monthly management accounts, financial reporting and analysis.

  • Work in line with quality and health and safety procedures and assist with compliance;

  • Assist with any other ad hoc office administration support required, including ordering of office supplies and preparing for internal and external audits.

    Ability to communicate effectively in oral and written forms to staff at all levels within the company and with external organisations, maintaining confidentiality of information

  • Accurate administrative skills and strong organisational skills

  • Ability to prioritise and to meet deadlines

  • Fully competent in the use of Microsoft Office and other associated software (training given)

  • A dynamic and positive approach to work and comfortable multi-tasking under pressure

  • Some working knowledge of reviewing legal documents would be advantageous

  • Administrative experience gained within either the construction or consultancy industry would be advantageous

  • Friendly, sensible and well-mannered with a good sense of humour
