Full Job Description

We are looking to recruit a GP administrator to join our friendly, supportive, and energetic practice team. The ideal candidate will be responsible for interpreting medical terminology and clinical coding the information onto patients medical records to a high standard, processing referrals and clinical correspondence and a wide variety of other administrative duties including providing admin. support to the clinical team. They must have the ability to deal with people in a professional and friendly manner. You must be able to work as part of a team and have a 'can do' attitude. Good IT skills (preferably in System one) and the ability to work in a fast-paced environment are also required, confident with telephone contact with patients. Previous NHS GP clinical coding/read coding experience is advantageous, & or experienced senior GP receptionist.

The hours are Monday to Friday 10:30am to 18:30pm, Management of medical records

  • Extraction of necessary data from clinical correspondence and code onto electronic patient record using workflow optimization process.

  • Read Coding information onto the practice clinical system.

  • Previous expereince of patient contact is essential for htis role.

  • Familiar with System One and advantage.

  • Scanning of letters and relevant correspondence into patients notes.

  • Filing and retrieving paperwork.

  • Registration & removal of patients from system one.

  • PCSE administration including registration and deregistration's of patients.

  • Process, handle, and monitor patient referrals through the e-referral system (and any subsequent or alternative systems) as necessary.

  • Type referral and other clinical letters.

  • Set up, process, and maintain medication for patients on weekly medication.

  • Process requests for copies of medical records for patients and other providers.

  • Summarisation of patients notes when requested.

  • Interrogate data for audit purposes.

  • Ensure security of data at all times.

  • To run searches and act on the result of such searches.


  • Management of appointment system
  • Ensure total familiarity with all appointment systems including regular and incidental variations.

  • Book appointments and recalls ensuring sufficient information is recorded to enable retrieval of the medical record.


  • Provide administrative support to members of the primary health care team ensuring appropriate practice records are kept up to date.

    Wigan GP Alliance is a well-established Primary Care provider within the Borough of Wigan and Leigh, established in 2015 to respond to the Prime Ministers Challenge Fund. The Alliance has grown to deliver its core services and extended its delivery to provide many more services and additional support for the whole Borough, reacting when required to in time of need e.g., Covid-19 response.
