Full Job Description

Due to fantastic growth across our group, we are now looking for an additional HR Assistant to join our friendly and supportive HR team.

This position offers Hybrid working for which you will need to be within easy travel distance to our office in postcode location IP6 0FU.

The successful candidate will be supporting the HR Team with the day to day operations of the HR functions, ensuring IPRS HR policies & procedures are implemented, adhered to and maintained at all times.

You will assist with general day to day HR enquiries via email, phone and in person.

You will also manage the onboarding process, including approving forms for approval, sending offer letters & contracts. You will liaise with candidates and hiring managers to support with the onboarding processes, changes and withdrawals.

You will manage all pre-employment checks, including DBS, ID verification checks, BPSS checks, Right to Work, VISA's and employment references.

You will also support as required with the interviewing processes, including note taking and managing selection.

You will support with the payroll changes, including leavers, starters, letters of variation and the Payroll Absence report.

You will provide support to line managers in managing the probationary period for their new colleagues, sending outcome letters, meeting invites, and supporting during these meetings as required.

You will use our internal HR system to ensure new starters are set up, for onboarding, sending internal letters and to ensure colleague files are maintained and kept up to date.

You will manage and maintain the HR email inbox.

You will ensure team trackers/ spreadsheets are up to date.

You will have the ability to build a strong relationship with colleagues, managers, and heads of business.

You will have an understanding of the VISA process and supporting the HR team in processing, tracking, and managing VISA's.

Plus general administration duties such as, processing & printing ID access cards, placing ad hoc stationary orders, placing occasion flower orders.

Other requirements as deemed appropriate for the role.

GNVQ/NVQ Level 2 qualification or equivalent, (D)

4 GCSE/O level passes A-C or equivalent, including English and Maths; (E)

CIPD Level 3 qualified or working towards (D)

EXPERIENCE AND KNOWLEDGE:

Experience of working in an administrative / human resource department (E)

Experience of using various Microsoft programmes and databases (E)

Possess good awareness of employment law (D)

Experience in dealing with confidential and sensitive data (D)

SKILLS AND ABILITIES:

Clear and concise written and spoken communication skills, in particular a friendly telephone manner.

Attention to detail and the ability to record information accurately

Ability to prioritise and meet relevant deadlines in a demanding environment

Ability to work on own initiative with minimal supervision in a proactive & methodical manner

Ability to communicate effectively with internal and external customers

Ability to perform accurate mathematical calculations
